AI voice agent in recruiting: 315 to 470 reactivated candidates per month, GDPR and EU AI Act compliant
In almost every recruiting database, thousands of candidates lie dormant who once made contact months or years ago and have been silent ever since. Reactivating them manually is expensive and slow. Simply calling them is legally risky. For this task we built an AI voice agent that operates exactly in between: with permission, measurable, and at a fraction of the previous cost.
Value first, not consent first
The decisive mistake in many outreach approaches is that they start with consent. We flip that around. The candidate starts with a simple, honest question: "Are you currently open to new jobs?" Only after this internal yes do they choose the channels through which they want to be contacted, right next to a short voice preview that shows how the AI assistant sounds.
A call happens only after double opt-in
No call happens without documented, specific consent. A double opt-in produces the time-stamped consent, and only those who actively agreed end up on the call list at all. The agent also discloses from the first second that it is an AI, and a "do not call again" is respected immediately and permanently.
The architecture
We deliberately work with proven, publicly available building blocks instead of a black box. Orchestration runs on n8n, telephony on Twilio, the voice on ElevenLabs, connected to the ATS (in this case Vincere) as the leading data source. This combination embeds into existing recruiting processes without having to rebuild everything.
The numbers
Over roughly 20 to 22 working days, the agent handles about 150 conversations per day, exclusively with people who have consented. At a reactivation rate of 10 to 14 percent, which varies by weekday, that adds up to 315 to 470 reactivated candidates per month. Running costs are around 300 euros for tools and about 150 euros for infrastructure, so roughly 450 euros per month in total. That is a fraction of what the same reactivation output would cost manually.
Compliance as an advantage, not a brake
The entire funnel is built for compliance from the start, in line with GDPR, the EU AI Act (Art. 50: clear AI disclosure from second one) and the relevant UK standards (UK GDPR and PECR). Clean opt-in, time-stamped consent, easy opt-out and a complete log are not a burden here, but become a selling point in themselves: we bring the numbers and the documented compliance along with us.
